Terms and Conditions

Agreement
By registering for and attending ESAT, I hereby agree that I accept the terms and conditions listed below and indemnify and hold harmless the Executive Summit on Addiction Treatment, its affiliates, and their respective directors, employees, and agents (including without limitation, any agent acting on its behalf) from and against any and all claims, damages, obligations, losses, liabilities, costs or debt, and expenses (including reasonable attorneys fees) resulting from attendance at Executive Summit on Addiction Treatment events.

Contract
s and sponsorship levels are required to sign a Contracted Sponsorship Agreement. The Contracted Sponsorship Agreement must be signed by the company’s responsible party. By signing the Contracted Sponsorship Agreement you are also agreeing to all of the terms and conditions listed below.

Termination Policy
We reserve the right to terminate your registration and sponsorship at any time prior to the start of the conference. If we exercise this right, we will provide you with a notice of termination no later than 72 hours prior to the start date and refund your sponsorship fee. We further reserve the right to immediately terminate your registration at any time throughout the duration of the conference, in which your sponsorship or registration fee will be forfeited. If you engage in behavior or activities that has or may cause damage to our brand, image or has or may impair our team or operation of the conference, each as determined in our sole discretion.

Limitation of Liability
We will have no liability with respect to any loss, liability, claim, damage or expense arising from or under this agreement or your registration or sponsorship, except to the extent and amount of your paid sponsorship fee. It is the responsibility of sponsors to take all banners, brochures and marketing materials with them upon the conference’s close. All items remaining on the show floor will be discarded. It is the responsibility & discretion of the conference participant to provide event or liability insurance for any damage caused by their own negligence. By registering to occupy an exhibitor table, the exhibitor maintains full responsibility for any damage caused to the hotel/event venue by your own exhibit materials. You shall not tape, nail, or glue any materials on property owned by the hotel/event venue. Any damage or labor hired as a result, will be the responsibility of the exhibiting company. All materials used by exhibitors must conform to the requirements of the Fire Department of the city in which the venue is located. ESAT will not be liable for any damages in the event that performance of this contract is rendered impossible for any of the following causes: destruction of the Exhibit Hall or any substantial portion thereof by fire, earthquake, the elements, a public enemy, strikes or other public disorder, impossibility of performance created by lay or any public authority, and/or for any cause beyond its control or the control of the hotel/venue.

Exhibit Information
All exhibit booths must be set up and teardown based upon the schedule identified within the prospectus. All exhibits must be used only by the company’s personnel or representative that signed the Contracted Sponsorship Agreement within the confines of the booth unless identified by the sponsorship level. It is imperative that all exhibitors do not obstruct or interfere with other exhibitors, or attendees walking paths with marketing materials, if so the item may be subject to removal. Subletting space to another company is prohibited. Booth placement is chosen by the company but may be changed to a comparable location as determined by the ESAT team. Exhibitor booths must be staffed during Exhibit Hall Hours.

Badges
Members of the ESAT team will be ensuring that each member attending the speaker sessions as well as the Exhibit Hall are wearing a badge whether they are an attendee, exhibitor, presenter or sponsor.

Shipping Instructions
Shipping materials must be prepaid prior to shipping, packed securely and are shipped at the company’s own risk and expense. The hotel/venue or ESAT are not responsible for any damages or loss of materials to the final destination. If you are shipping materials or other items please confirm the ESAT team via email for approval and instructions.

Payment
It is the responsibility of the company/person to pay in full for registration such as attendees, exhibitor or sponsorship levels. Registration may be purchased via the website using a credit card, if you would like to pay with a credit card or money order contact via email. Below is the breakdown of the cancellation policy:
Cancellation Policy for Exhibitors/Sponsorships
Notification of intent to cancel must be provided in writing via email.
A 50% refund will be issued on or before February 7, 2023.
After February 8, 2023 no refunds will be issued.

Cancellation Policy for Attendees
Notification of intent to cancel must be provided in writing via email. A 50% refund will be issued on or before February 7, 2023. From February 8, 2023 through April 7, 2023 a 25% refund will be issued. After April 8, 2023 no refunds will be issued. Cancellation by the Event Organizer
In the event that the conference is canceled by the organizer, the conference will refund the exhibit booth fee paid by the company minus those expenses paid for by the organizer. Exhibitors may choose to transfer the exhibit booth fee to another event. The conference shall be under no liability to the sponsor or any other person or company in respect of any actions, proceedings, claims, demands, losses (including consequential damages/losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the sponsor as a result thereof.

Changes by the Event Organizer
In the event that the conference is postponed or converted to a virtual conference, the conference will transfer all previously padi fees to the new event (live or virtual). Should a sponsor be unable to use the sponsorship due to the virtual nature of the conference they will have the option to change to another sponsorship or toward print or digital products. The conference shall be under no liability to the sponsor or any other person or company in respect of any actions, proceedings, claims, demands, losses (including consequential damages/losses), costs or expenses whatsoever which may be brought against or suffered or incurred by the sponsor as a result thereof.

Children
Under no circumstances will children under the age of 18 be allowed on the property utilized by ESAT for this conference, including but not limited to the Exhibit Hall, Speaker sessions or food distribution provided solely for the members of the ESAT conference. For the reasons of insurance children are not allowed to be in the Exhibit Hall during setup or teardown.

Audio/Visual Recordings
Any person who attends any event held by ESAT grants permission to ESAT, its employees, and contracted members to record visual and audio recordings, including but not limited to digital images, photographs, sound/voice and video recordings. ESAT is given permission to utilize any and all audio and visual recordings for marketing and promotional purposes for the current or future conferences.

Intellectual property
All participants, exhibitors, and sponsors grant the conference a limited, non-exclusive, non-transferable license to use the exhibitor's name and marks in connection with the event. The exhibitor or sponsor may not use the conference’s name, trademarks, logos, or research in its booth or in any information it provides to its prospective participants, except to inform participants that they are participating as an exhibitor or sponsorship at ESAT.

Presenter Sessions
Presenter sessions are subject to change due to unforeseen circumstances. Seating in the session rooms are limited and is available on a first come, first served basis. Please be sure to arrive promptly to not distract the participants or presenter during the presentation. No attendee or sponsor of the session are allowed to record or live feed/broadcast any portion of the presenter sessions without prior written consent of ESAT. ESAT will have specific badges for press representatives that will be recording or live feed/broadcasting of the presentation.
